Use Google Tasks as a Mobile Inbox for Notion

Capture tasks quickly on mobile with Google Tasks, then organize them inside a connected Notion database.

Separate capture from organization

A capture tool should be available at the moment an obligation appears. A planning system should provide enough structure to decide where that obligation belongs. Google Tasks and Notion can fill those different roles.

Set up the inbox

  1. Create a dedicated Google Tasks list named Inbox.
  2. Create or select a Notion task database with compatible fields.
  3. Pair the list and database in a sync group.
  4. Capture short, actionable titles on mobile.
  5. During a daily review, add project context and other Notion-only properties.

Keep capture friction low

  • Write the next visible action, not a vague project name
  • Add a due date only when it is a real deadline
  • Avoid long notes in the portable title field
  • Process the inbox at a predictable time

Complete from either context

When working from your phone, complete the task in Google Tasks. When reviewing the project in Notion, complete it there. A two-way completion field keeps both views from becoming stale.
